Managed Print Services

For ongoing accounting of your print/document environment Nashuatec has developed Managed Print Services (MPS)

We will take over your existing document output activities on a global level and manage all your print, scan copy and fax activities.


We do this against pre determined and agreed conditions and will guarantee substantial reduction in your TCO over the contract period.


How does it work? 
The MPS process consists of four major steps.

  1. Rollout Preparation 
  2. Site Survey 
  3. Site Transition 
  4. Site Management         


1. Rollout Preparation 
In the preparation step we identify the scope of the project, the portfolio needs, pricing, set-up the cost-base and proposal rules and agree to the deployment policies. Together with the agreed service levels we will transform this into a Frame Agreement, signed by both parties. In this phase we also identify the different central and local project teams.

2. Site Survey 
Identifying the current installed base, analysing the current cost base and make a proposal at site level supported by floor plans. We will identify the requirements for printing, scanning, copying and faxing. After agreeing the cost base we will make a proposal on site-level. Basis for the proposal of course will be a combination of existing document environment (=current situation), customer requirements, agreed proposal rules and deployment policies. Proposals will show the most costs effective phase-in and legacy phase-out plan for the duration of the contract. 

3. Site Transition 
The second step involves migrating the existing base to the new environment. All machines will be network connected and are installed to the advanced web-based management portal, enabling automatic collecting of the meter readings.

4. Site Management 
This phase, which will last over the life of the contract, is lead by a contract manager. The MPS portal offers an environment where the contract manager manages the fleet on both local as well as central level. The contract manager analyses machine usage, organisational changes and user behaviour and reports all findings to the customer on monthly basis. Together with the customer site champions we ensure that the fleet is running to the lowest possible costs. The portal also provides intelligent reporting functionalities and helpful tools to support the day-to-day monitoring of your fleet. 

Some key functionalities of the portal

  • Overview of your installed equipment base 
  • Performance on SLA’s (call to response / call to fix / uptime) 
  • Actual usage specified per unit 
  • Volume breakdown information for Print / Copy / B&W / Colour / Scan, etc. 
  • Actual usage vs. target usage. 
  • Actual costs versus expected and agreed costs (based on implemented situation) 
  • Monitoring console showing status & fault messages on fleet (in the updated release) 
  • And many more 

All activities in this phase are aimed to create more transparency of the document environment and will support the site in maintaining and optimising the actual savings.

The contract manager will communicate to both individual site champions as well as the central team. Each country will have its own contract manager.

  • Monitor and steer on agreed service levels 
  • Manage savings on site level & show variances 
  • Reporting on site and country level 
  • Communicate to site champions & central team
